1. Who we are
Zero-Noise OS is operated by Nordic Knight Ltd, a company registered in England and Wales (company number: 16301439), with registered address at Berkeley Townsend, Hunter House, 150 Hutton Road, Shenfield, Brentwood, England, CM15 8NL ("we", "us", or "our"). We are the data controller for account and organisation data, and a data processor for candidate data you upload to the platform.

2. What data we collect
- Account data — your email address, used for authentication via magic link.
- Organisation data — your company name, email domain, and associated user accounts.
- Candidate data — full names, email addresses, CVs, evaluation notes, interview evidence, and hiring decisions that you or your team record on the platform. You are the data controller for this data; we process it on your behalf.
- Usage data — anonymised product analytics and error logs (via Sentry) to maintain service reliability. No candidate PII is included in error reports.
3. Legal basis for processing
- Performance of contract (Art. 6(1)(b) UK GDPR) — to provide the Zero-Noise OS service you have signed up to.
- Legitimate interests (Art. 6(1)(f) UK GDPR) — to maintain, secure, and improve the platform.
- Compliance with legal obligations (Art. 6(1)(c) UK GDPR) — where required by applicable law.
4. How we use your data
- To authenticate users and manage access to your organisation's workspace.
- To provide the hiring decision features of the platform (scorecards, evaluations, shortlists, decision packets).
- To send transactional emails (magic link sign-in).
- To monitor platform health and debug errors (Sentry — no PII in payloads).
5. Data sharing and sub-processors
We share data only with the following trusted sub-processors:
- Supabase Inc. — database hosting and authentication (EU data centre). Standard Contractual Clauses apply.
- Vercel Inc. — application hosting and edge delivery (US). Standard Contractual Clauses apply.
- Sentry (Functional Software Inc.) — error monitoring (US). Standard Contractual Clauses apply. PII is stripped before transmission.
We do not sell your data or share it with third parties for marketing purposes.
6. Data retention
We retain your account and organisation data for as long as your account is active. Candidate data is retained for as long as the associated role exists in your workspace. You may request deletion at any time by contacting us at info@nordic-knight.com. Following account closure, data is permanently deleted within 30 days.
7. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — request correction of inaccurate data.
- Erasure — request deletion of your personal data ("right to be forgotten").
- Restriction — request that we limit how we process your data.
- Portability — receive your data in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests.
- Lodge a complaint — with the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies
Zero-Noise OS uses strictly necessary session cookies to maintain your authenticated session. No tracking or advertising cookies are set. No cookie consent banner is shown because no non-essential cookies are used.
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email to account holders. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
Terms of Service

1. Agreement
By accessing or using Zero-Noise OS ("the Service"), you agree to be bound by these Terms of Service. The Service is operated by Nordic Knight Ltd. If you are using the Service on behalf of a company or organisation, you represent that you have authority to bind that entity to these Terms.
2. Pilot access
During the current pilot period, access to the Service is by invitation only. Nordic Knight Ltd may grant or revoke access at its discretion. Pilot access is provided at reduced or zero cost in exchange for product feedback. Pilot pricing is locked for 12 months from the date of general availability, as communicated at onboarding.
During the pilot, the Service is provided without guaranteed uptime, SLAs, or data backup commitments. We will make reasonable efforts to maintain availability and protect your data.
3. Your responsibilities
- You are responsible for all activity under your account.
- You must keep your login credentials secure and not share access with unauthorised individuals.
- You must comply with all applicable laws when using the Service, including data protection law.
- You are the data controller for candidate data you upload. You are responsible for obtaining any necessary consent from candidates and for your organisation's compliance with employment and equal opportunities law.
- You must not use the Service to unlawfully discriminate against candidates.
4. Acceptable use
You must not:
- Use the Service for any unlawful purpose.
- Attempt to reverse-engineer, decompile, or extract source code from the Service.
- Upload malicious code, viruses, or content that violates third-party rights.
- Use the Service to process data in a way that violates applicable data protection law.
- Resell or sublicense access to the Service without prior written consent.
5. Intellectual property
The Service, including all software, design, and methodology, is the intellectual property of Nordic Knight Ltd. You retain ownership of all content you upload (candidate data, scorecard content, evaluation notes). You grant Nordic Knight Ltd a limited licence to process this content solely to provide the Service.
6. Data processing
Where you upload personal data of candidates or other individuals to the Service, you are the data controller and Nordic Knight Ltd is your data processor under UK GDPR. By using the Service you agree to our Data Processing Agreement, which forms part of these Terms. A copy is available on request at info@nordic-knight.com.
7. Limitation of liability
To the fullest extent permitted by law, Nordic Knight Ltd shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of the Service. Our total aggregate liability to you in any 12-month period shall not exceed the greater of (a) the total fees paid by you to Nordic Knight Ltd in that period or (b) £100.
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.
8. Termination
Either party may terminate these Terms with 30 days' written notice. Nordic Knight Ltd may terminate immediately if you materially breach these Terms. Upon termination, your access to the Service will be revoked and your data will be deleted within 30 days.
9. Governing law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
10. Changes to these Terms
We may update these Terms from time to time. Material changes will be communicated via email with at least 14 days' notice. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
